We believe in giving your camp staff tools to stay organized without the headache. Our Camper Groups feature is flexible, intuitive, and easy to use. Create multiple types of groups for each event to stay organized, such as cabins or lodging spaces, teams, or rotation groups!

Name Camper Groups

When setting up camps, decide what type of camper groups are needed. Enter a name to describe each type of group, such as “cabins”, “teams”, or “pods.” Then set up the number of groups needed. Add rules about each group’s size, age, or gender restrictions.

Drag & Drop Campers

Once campers have registered, it’s time to get organized! From the camper groups tool, simply drag camper names into the group they should be a part of. If the Friend Groups tool is enabled, friends will be placed into the same camper group by default.

Make Informed Decisions with Custom Camper Tags

Camper profile tags enable teams to track notable items related to campers at a glance. Profile tags show next to camper names in some areas of the software and reports. 

 

If campers have a special condition for teams to be aware of, such as sleepwalking or a severe allergy or medical condition, this is a great way to bring visibility to it! Use a designated combination of colors and letters to create unique tags. 


Tags are managed within an event's camper profiles view. They are also visible in the camper groups assignment tool and the camper profile tag report. This feature can help teams make informed decisions, such as which campers are safe to room together or which cabins may need to avoid allergy triggers.

Camp Groups & Friend Management Tools

Assigned camper groups are also visible to staff in the household’s registration information, making it easy for registration and customer service teams to pass on details when camp families have questions. A special view under the event as well as a built-in camper groups event report display group assignments and profile tags.

Viewing Camper Groups

Bringing a friend to camp can help reduce a camper’s anxiety. For camps  using our friend groups feature, the friend groups are primarily managed by camp families online. However, staff can make changes to friend groups under the household’s registration records as needed. Friend groups are also seen in the Camper Groups tool and report.

Exploring Friend Group Management

The first question at the start of every school year is “What did you do over the summer?”. Your camp experience will be a part of those discussions. As campers describe the fun they had to their friends and classmates, campers can encourage them to take action! iCampPro makes it easy for a camper’s parent or guardian to invite a friend or a classmate to join their child’s next camp adventure. Let’s explore how it works!

Activate Friend Groups

If your camp has enabled friend groups, the family will need to register for camp first. Once registered, they can click on the Friend Groups icon and start a new group using the “Invite a Friend” option. Send an invite with the friend’s name to their guardian’s email address! Afterward, a private invite link is also available to copy & share.

Add Siblings as Friends

Campers can bring along a sibling that they would like to share the camp experience with as a part of their friend group! Families would simply send themselves an invite. After following the link in the email, select a sibling or household member to add to the friend group—whether or not they’ve already been registered.

Accepting Invites

The link sent in the invitation email connects the recipient to register for the same camp as the person inviting them. Whether or not the person receiving the invite already has an account with the camp, they will be walked through steps to complete registration or select an existing one for that camp to confirm their invitation.

View & Manage Friends

After invites have been sent out, camp families can check back in using the Friend Groups area of the Registration Portal to see who has also registered and accepted their invites. The household can also cancel invites to specific friends or leave the group. They can access private invitation links for outstanding invites and more.

If conflicting campers are placed in the same friend group, this is brought to staff’s attention when establishing camper groups or reviewing policy exceptions for the camp.
