iCampPro Companion App Privacy Notice

1. About This Notice

This notice describes how iClassPro, Inc. ("iCampPro," "iClassPro," "we," "us," or "our") collects, uses, and shares personal information in connection with the iCampPro Companion Media App (the "App") during its pilot release (the "Pilot"). This notice applies only to the App. Use of the iCampPro web platform is governed by the iCampPro Privacy Policy, available at https://www.icamppro.com/privacy-policy. Your camp's own collection and use of information, including consents collected during enrollment, are governed by your camp's policies and practices, not by this notice.

The App is offered during the Pilot as a limited beta release to a single participating camp. This notice describes the Pilot release only. If App features change in later releases, we will update this notice before those features become available to you.

2. Our Role

We provide the App as a service provider to your camp. The camp decides which events are photographed, which photographs are shared, and who may view them, and the camp is responsible for obtaining any consents required to photograph campers and to share those photographs with families. Those consents are typically collected through the camp's enrollment and media release process. If you have questions about consent, or wish to withdraw a consent you previously provided, contact your camp directly. We will assist the camp in honoring your request.

3. Who Uses the App

The App is designed for and directed to adults. During the Pilot there are two types of users. Household users are parents and guardians who sign in with the same credentials they use for camp registration. Publishers are camp staff members whom the camp has authorized to capture and upload photographs, and they sign in with the camp's existing management platform credentials. Children do not create accounts and are not permitted to use the App. Campers appear in the App only as subjects of photographs taken by camp staff.

4. Information We Process

Account and sign-in information. The App authenticates you against your existing camp registration account or the camp's staff account. We do not create a separate App password.

Registration and event information. The App synchronizes limited information from the iCampPro platform, including camper names, event registrations, and household associations. We use this information to determine which event photographs your household may view.

Photographs. Publishers capture photographs within the context of a specific camp event. Photographs may include images of campers, staff, and other individuals present at the event.

Device and usage information. We collect device type, operating system version, App version, push notification tokens, and crash and diagnostic logs so that we can operate, secure, and improve the App.

We do not collect precise geolocation, contacts, or payment information through the App.

5. How Photo Sharing Works During the Pilot

All photographs uploaded for an event are visible to all household users who have a camper registered for that event. The Pilot does not include facial recognition, so photographs are not filtered to individual campers. This means that you may see photographs that include other campers, and that other registered households may see photographs that include your camper. Photo permissions and exclusions are managed by your camp through its enrollment process. If you believe a photograph was shared in error, contact your camp; photographs will be removed at the camp's instruction.

6. What We Do Not Do

  • We do not use facial recognition and do not process biometric identifiers in the Pilot.
  • We do not sell personal information, and we do not share it for cross-context behavioral advertising.
  • We do not display third-party advertising in the App.
  • We do not use photographs to train artificial intelligence or machine learning models.
  • We do not permit children to create accounts or use the App.

7. How We Share Information

We share personal information only with service providers that help us host and operate the App, such as cloud hosting and storage providers and the Apple and Google push notification services, and only for the purposes described in this notice. These providers are bound by contractual obligations consistent with this notice. We may also disclose information where required by law, to protect the rights, safety, or property of users, the camp, or others, or in connection with a corporate transaction. A current list of App service providers is available on request using the contact information below.

8. Retention and Deletion

Photographs are retained for thirty (30) days after the end of the associated event and are then deleted, unless your camp instructs us to delete them earlier. All Pilot photographs and related App content will be deleted no later than the conclusion of the Pilot, as agreed with your camp. Crash, diagnostic, and usage logs are retained for a limited period consistent with our information security practices and are then deleted or de-identified.

9. Security

iCampPro maintains an information security program that includes encryption of information in transit and at rest, role-based access controls, logging and monitoring, and regular assessment. iClassPro, Inc. maintains an information security management system certified to ISO/IEC 27001:2022.

10. Your Choices and Rights

You may disable push notifications at any time in your device settings. Because we process information in the App on behalf of your camp, requests to access, correct, or delete information, including photographs, should be directed to your camp, and we will assist the camp in responding. Where applicable state privacy laws grant you rights with respect to your personal information, you may also contact us using the information below and we will route your request appropriately.

11. Children's Privacy

The App is not directed to children, and children are not permitted to create accounts or use the App. Photographs of campers are captured by camp staff and are processed by iCampPro on behalf of the camp, based on consents the camp obtains from parents and guardians. If you believe a photograph of your child was shared without appropriate consent, contact your camp, or contact us and we will work with the camp to review and remove the content.

12. Changes to This Notice

We may update this notice as the App changes. If we make material changes, we will update the effective date above and provide notice through the App or through your camp before the changes take effect.
